Solaris Voyages – Independent Travel Advisor

Welcome to Solaris Voyages. By accessing our website, engaging our advisory services, or booking travel programs through us, you agree to the following Terms and Conditions. Please read them carefully before making any booking or payment.

1. Company Information

Solaris Voyages is a licensed Independent Travel Advisor based in the Cayman Islands, providing curated travel experiences, custom itineraries, and professional booking services.

2. Acceptance of Terms

By booking a trip or utilizing our advisory services, you acknowledge that you have read, understood, and agreed to be bound by these Terms and Conditions. If you do not agree, please refrain from using our services.

3. Booking & Payment

  • Availability: All bookings are subject to availability and final confirmation by the service provider.
  • Pricing: Prices are quoted in USD/KYD and may fluctuate based on exchange rates or supplier adjustments until full payment is received.
  • Payments: Full or partial payment (deposits) may be required at the time of booking. Failure to meet payment deadlines may result in automatic cancellation without a refund.
  • Contracts: Any booking made through Solaris Voyages constitutes a binding contract between the traveler and the third-party suppliers (e.g., airlines, hotels, cruise lines).

4. Cancellations & Refunds

  • Requests: All cancellation requests must be submitted in writing to info@solarisvoyages.com
  • Supplier Policies: Refunds are strictly subject to the terms and conditions of the relevant airlines, hotels, or tour operators.
  • Fees: Solaris Voyages reserves the right to retain professional advisory fees or non-refundable deposits.
  • Unused Services: No refunds will be issued for “no-shows,” late arrivals, or unused portions of a travel itinerary.

5. Modifications

  • Client Changes: Itinerary changes requested after confirmation may incur additional administrative fees plus any supplier-imposed costs.
  • Force Majeure Changes: Solaris Voyages reserves the right to modify or reschedule itineraries due to unforeseen circumstances (weather, natural disasters, or supplier insolvency). Reasonable alternatives will be offered where possible.

6. Responsibilities & Liabilities

Solaris Voyages acts solely as an intermediary (Independent Advisor) between clients and third-party service providers. We do not own or operate any transportation or accommodation. Solaris Voyages is not liable for:

  • Injury, illness, loss, or delay caused by third-party providers.
  • Acts of God, pandemics, or government travel restrictions.
  • Travelers are solely responsible for obtaining valid passports, visas, and vaccinations prior to departure.

7. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance. Solaris Voyages is not responsible for financial losses incurred due to a lack of coverage for medical emergencies, trip cancellations, or lost baggage.

8. Traveler Conduct

Solaris Voyages reserves the right to terminate services without a refund if a client’s behavior is deemed disruptive, hazardous, or causes damage to property or other travelers.

9. Documentation & Requirements

It is the traveler’s responsibility to ensure all travel documents (passports with 6+ months validity, visas, health certificates) meet destination requirements. Solaris Voyages is not responsible for denied entry.

10. Force Majeure

Solaris Voyages shall not be held liable for failure to perform obligations due to events beyond our control, including war, terrorism, strikes, or natural disasters.

11. Limitation of Liability

To the maximum extent permitted by law:

  • Our total liability shall not exceed the total amount paid by the client for the specific advisory service or booking.
  • We are not liable for indirect or consequential damages, such as loss of enjoyment or opportunity.

12. Governing Law & Jurisdiction

These Terms & Conditions are governed by the laws of the Cayman Islands. Any disputes shall be subject to the exclusive jurisdiction of the courts of the Cayman Islands.

13. Privacy Policy

Personal data is handled in accordance with our Privacy Policy. We share only necessary information with suppliers to facilitate your travel arrangements.

14. Amendments

Solaris Voyages reserves the right to update these Terms & Conditions at any time. The current version will always be available on our official website.
